An old PDF price list, a revised procedure and a live inventory record answer different questions. A plausible answer from the wrong version can be worse than no answer.
A salesperson may need a customer’s order status without access to payroll or the full accounts. Connecting a system does not automatically mean its data is suitable for everyone.
How we would build it
A controlled knowledge layer over approved documents and supported business systems.
Identify the user, their permitted sources and whether the answer needs a document, a current system record or expert judgment.
Check before proceeding. The source is restricted, missing, stale or contradictory? Explain the gap and route it to the right owner instead of producing a confident guess.
Use the current procedure, product guide or agreed business rule.
Follow the cited source and escalate unusual conditions.
Retrieve supported stock, order or account information with its update time.
Availability is not automatically a reservation or a delivery promise.

Keep permissions intact and collect corrections. Knowledge helps the person decide; actions that change orders, pricing or finance use their own approval workflows.

Bring product selection rules, application notes and customer equipment history together. Separate a supported compatibility rule from a suggestion based only on previous purchases.
Make the dispatch procedure, escalation owner and exception rules easy to find at the moment of work. Keep each procedure owned and reviewable as the process changes.
Start with a small set of useful questions and trusted sources. We verify the access available in each integration: some tools support per-user permissions, while others expose broad account-level access. Where permissions cannot be preserved, restrict the connection or exclude that source. The first useful version can be read-only.

That is a separate workflow with clear permissions, review and logging. We usually establish reliable read access first, then add narrowly defined actions where there is a business case.
